How to pick the right venue for your event

By Sarah Holland, Head of Venue Reservations

Finding the right venue can be really time-consuming, especially if you are a newbie to the London event world. Thankfully, that’s why Venue Reservations exists. We are your shortcut. Not only are we here to chat to you about your needs, wants and desires, but we also have many online platforms and a massive venue portfolio to help you jiggle a few ideas together along the way.

The VR Dream Team (that’s us!) are constantly in talks about why, how and what is best for our clients and how we can make every proposal bespoke for each brief we receive.

Below are VR’s top reasons for picking the right venue:

If cost is an important factor to you choosing your venue, then you may want to think about a venue that has lower venue hire so you are able to spend more on food, beverage and production, or vice versa, if you are looking for a venue with a WOW factor and do not want to spend so much on F&B or production.

We all want a perfect date, that normally being a Tuesday, Wednesday or Thursday, but if you are able to look into a Monday or Friday you may be surprised at how the venue hire may reduce.

If you are a charity and a little more price sensitive, then there are some amazing venues who work on charity rates, normally offering between 5-15% off venue hire or F&B spend, particularly if you are able to be flexible with date and delegate numbers.

Venue Reservations has over 150 venues on our portfolio and can help with any of the points made above. We deal with clients who are budget conscious every day, but we have the knowledge of venues in London to being able to fulfil your perfect match.

Location will be different for each event organiser as no two events are the same. One event may need a venue that is next to an airport because the majority of attendees are flying in specifically for that event. For events with attendees who are based in and around central London, then opting for a venue within a specific geographic range may be the best option. Other events may need capacity for 5,000+ attendees, therefore the City outskirts is where you will need to be looking.

Venue Reservations pride ourselves in having an eclectic range of venues in and around London so we are able to offer at least, 3-5 venues that will geographically match what you are looking for.

Fun Fact: We also have locations in Brighton, Kent, Huddersfield, Leamington Spa, Coventry, and Harrogate amongst a few others. So, if you are feeling a little fruity and fancy a change from London then we are the people to help venue find for you… you may even be able to get a more economically friendly DDR or Venue Hire rate if you exit the realms of the M25!

Venue uniqueness:
Flexibility of the venue may be crucial to your event and we agree 100% with you. Choosing a venue that can morph into your wants and desires should be an important factor. Flexibility, in our eyes includes; being able to hold your style, capacity, the accessibility of the venue, disabled access, catering and local transport.

One of the listed may be higher priority than the others and that’s where the Dream Team fit in! The venues we have listed are of all shapes and sizes; historical, modern, blank canvas, technological, museums, landmarks, high rise, underground – we fit the bill for all. We are here to tackle every brief that comes our way and LOVE a challenge! So bring the briefs on because no doubt we will have a venue that is perfect for what you expect and envisage your event to be.
